    Hi Museum Friends,

Please contact me if your institution is AAM accredited and you've moved your collections database to cloud storage...or tell me why you haven't.

    Regards,

Hi Sherry, We are accredited and moved to CatalogIt a few years ago, well maybe it's been more like 5? Anyhow, we've loved the cloud format and it have integrated well with our new website (due to launch later this year). The guys who started the company are really great and really accessible. I'm happy to answer your general questions and/or connect you with the registrars that can give more detailed answers to your questions.

    Good Luck,

    Matt

    Sherry,

We were just re-accredited last year. We have our databases in the cloud. PastPerfect, ArchiveSpace.

We're perfectly happy with things being in the cloud, and our IT staff prefer it to having to support in-house servers for it.

    Hello Sherry,
The Pro Football Hall of Fame is accredited and we use a cloud based collections software called Re:Discovery Proficio. Initially five years ago, the system was slower, but it operates really well now. The cloud-based software allows us to access the collection from anywhere which is very convenient.

    All the best,

    Dear Sherry,

We at the Fort Bend History Association are accredited and last year moved to Past Perfect. Our database lives in the cloud which certainly frees up onsite computing space. it also give some peace of mind knowing that it will be safe in case of a disaster especially as we are in hurricane country near the Texas gulf coast. More importantly for us is that it allowed for multiple staff to access the database from their desks. We are pretty spread out geographically and our old database was only usable in my office which was very limiting. Hope this helps.

    Best,

    Chris Godbold

    Hi Sherry,

I'm with the Artwork Archive team and we have many accredited museums using our cloud-based platform. I'd be happy to connect if you have any questions about going online and would gladly connect you to our wonderful museum clients.

    Cheers,

    Elysian

I'm assuming the root of this question is coming out of the recent Gallery Systems' TMS ransomware attack. This incident, and their vulnerability has more to do with their infrastructure management than with the fact that it is cloud-based. The fact that institutions that were affected lost months of data is also highly questionable regarding backup and archiving processes. The most secure infrastructures are cloud-based e.g. finance, healthcare, government, etc., which use the same cloud services that are available to CMS providers. The cloud-based platforms cited, CatalogIt, Proficio, Pastperfect, and many others, are cloud-based and managed highly effectively. Likely most of the day-to-day systems you have in place are cloud-based, for example, your email. I would encourage any museum to prioritize a cloud-based system over hosting on-premise.

The irony of the question and its reference to Accreditation is that there is absolutely no specific reference or requirement for any technology best practices in the Accreditation process.

(Shamelessly, if you are interested in looking at other cloud-based collections management systems, please check out our webinar series Dreaming of a New Collections Management System (https://www.youtube.com/watch?v=lMzxR0A5eI4&list=PLGCjgGyVDLiBtvVUiV9ptgY7-Zn2Ywmjy) which features interviews and demonstrations from CatalogIt, Collector Systems, Collective Access, Artwork Archive, and others.)

    Hi Nik,

Thank you for your response.  It was very helpful.  Actually though, my question was not based on the Gallery Systems TMS ransomware attack.  We have been considering cloud storage for our system for some time and just needed to get a pulse on the field experience.  Our benchmarking needed to be with only accredited institutions to satisfy the peer review status.  When we were collecting information about database systems a few years ago, a few of my colleagues happily participated in the Dreaming of a New Collections Management System presentation.

So far, the resulting data from this inquiry is calculating heavily to cloud storage.

    I appreciate your insight.

    Regards,

    Sherry

We use Past Perfect that allows 10 people to sign in remotely.  We are largely volunteers, and we work from several locations, including our homes.  Cloud-based access was a life saver during COVID, and we've kept going strong ever since with the cloud system.

PS, they have GREAT customer service!

At the Swope Art Museum we moved to the cloud via Catalog It three years ago and it has been great.
