    Hello,

    We are looking to implement a web-based project management software/service (for example, Monday.com, Asana, Jira, ClickUp) for the staff at our art museum. We have about 16-25 people who will use it. All departments will utilize it from HR, gift shop management, marketing, exhibition timelines, etc. Currently we use nothing but Google Workspace.

    We are looking to help with timeline planning, visible workflows, tasks list, project status, etc.

    What web-based software/services are you currently using? What do you like about it, what do you wish it did better?

    Hi Julie,


    We've used Jira with a museum client to manage software projects and coordinate work between museum staff and developers.

    While it's effective for tracking tasks, timelines, and collaboration, we've found it can be complex and costly for broader organisational use.
    To address that, we're developing an internal project management platform that provides core features like task tracking, timelines, workflow visibility, and collaboration without the complexity or per-user licensing costs.

    Hi Julie,

    We use Asana at the non-profit rate, and it does everything mentioned.  You can also share projects with stakeholders outside of your organization for free.  It has made work visible and more collaborative.  It is great for repeatable work and for use across all departments.  Happy to chat more if you're interested.

    Hi Julie,

    I've been working with the IT and Digital teams at the Royal BC Museum in Victoria BC, and their tool of choice is Teamwork.  It's proven to be a flexible and light weight tool.  Asana is also a worthy tool, more suited for Marketing and Communications type initiatives from my experience.
