  • 1.  Out of Pocket Expenses for Museum Educators

    Hi all,

    In a former life I was a classroom teacher, and as a classroom teacher I would often spend my own money to purchase classroom decorations and supplies. In fact there is a tax credit for teachers who do this. I am wondering if there is any expectation, or any instances, where museum educators pay out of their own pocket for supplies. I haven't heard of any such instances, but would love to hear either way.

    At my museum, if I buy anything out of pocket, the Museum pays me back either in petty cash (<$100) or by a formal check request ($100+). Hope this helps!

    Same at our organization. If we pay out of pocket, we are reimbursed for those costs. It is never expected that any staff member in our Learning Group should have to pay for any programmatic needs with their own personal funds.

    We are reimbursed, but depending on what type of program it is and how it's sponsored, the reimbursement comes from either our Friends group or the museum itself.  Generally speaking, though, paying with your own money is discouraged.  The auditors like a nice, clean paper trail and adding extra levels through reimbursements opens up greater possibility of error or abuse. The museum has a Visa card for program purchasing that takes the place of a petty cash fund, and the Friends group has a debit card connected to their Events & Programs account, so even on-line purchasing is easy.  The only hiccup is when we are dealing with individual artists/instructors or perfomers who aren't set up to take a payment by credit card.  Then we have to jump through a few more hoops in order to issue an actual paper check.
