    Hello everyone,

    My organization is strategically working on building our long term capacity to to seek out and maintain community partnerships.

    I am looking for examples of framework for community partnerships of all sorts (museums to other museums and nonprofits, museums to businesses and academic institutions, donor/recipient relationships, financial collaborations, etc.).

    What sorts of terms do you apply to distinguish one partnership and collaboration from another? What policies do you have to regulate these partnerships and establish communication and accountability? Does each department manage its own partnerships or is there a staff member specifically in charge of community outreach and partnerships?

    We tend to work on a case by case basis because each partner brings their own strengths to the table.  Our staff is small - 7 people and our capacity to support partnerships can, at times, be stretched. 

    I can give you specific examples but wanted to see if you were basically interested in  this approach before launching into a long email.

    At Lewis Ginter Botanical Garden, Richmond, VA we've found it helpful to use Board-approved "Guiding Criteria for Partnership Formation" when screening new opportunities. We also instituted some years back a basic memorandum of understanding for use with allied, "like-minded" horticultural organizations that use our facilities on a regular, consistent basis.  I am happy to share these documents, along with the advice that these relationships are challenging to manage in balance with the need to maintain and build earned income.  The allied organizations, because of their longer history with us, naturally feel some entitlement and are often very modest, volunteer-run enterprises with limited budgets.  We've found that the MOU clarifies both the value of what the Garden provides as well as the value of what the organization pays and/or provides in the way of contributed services.  This recognition of the mutual benefits helps to defend the discounts on customary facility rental fees.

    Dear Kristin,

    This is such a great question. Thank you for posting.

    Here at MICA, where I serve as Director of Community Engagement, we are in the process of developing articulated criteria and parameters for strategic partnerships. I'd be happy to share these once they are firmed up -- and would love to see documents shared by others.

    Also, as a trustee of The Contemporary, a nomadic contemporary arts organization here in Baltimore, we rely heavily on partnerships for all of our programming and project-based work. I've not been involved in those negotiations directly, but can find out how we have navigated those in the past. 

    Let's figure out a way to be in dialogue!

    I also would love to see any documents that people are willing to share.

    My organization is pretty tiny - around 11 FT staff, and we are always struggling with how to decide what partnerships to pursue. As we are in Philly, a festival-happy city, this includes trying to decide what festivals/months/weeks/whatever we want to be included in. It would be amazing to do them all but we just can't. I would love a more concrete way to weigh the pros and cons of partnering/participating and make internal decisions based on sound research and planning.

    Hi All,

    I too would love to see any documents others have created. We in Pacific Science Center's Science and Education division recently developed a draft of a rubric for how we decide which partnerships we might pursue. It was created to help us better explain to other divisions and our administration our criteria when we assess potential partnerships and why we decide to pursue some and not other opportunities. We are still tweaking the rubric, but I'm happy to share the draft if anyone is interested.

    This is great. If grantors and the wisdom of the crowd see collaboration and partnerships as the future of museum programmatic efforts - "united we stand..." - then museums need help defining these new hybrids.

    There are so many different types of partnerships - community, programmatic, marketing, those that fall somewhere between sponsorship and partnership. In last six months we've "partnered" with a variety of organizations with the goal of bringing more attention to the museum and bringing in new audiences. Each time we had to make up the rules on how we'd work together. Without guidelines this has led to frustration throughout our departments. We'd love it if there as some precedence or best practices to learn from. 

    I've been searching the web for this with little succes. - mostly info for non profits in the public sector, not cultural. Really looking forward to any info this board can give.

    Remember that anyone can also share documents via the Library here on Museum Junction!

    If you are on the main Open Forum page you'll see several tabs, one of which is the Library. You can open that tab and you'll see a large green button on the right hand side that says Create New Library Entry. You can enter as much or as little meta data as you would like but must have a Title and a document type. Then you can upload the document.

    This is a valuable resource that focuses on collaborations between cultural institutions to meet community needs:

    Building Strong Community Networks (BSCN), is a two-year action-research project aimed at diagnosing and responding creatively to community needs through collaboration. BSCN is funded by the Institute of Museum and Library Services (IMLS) and The Rockefeller Foundation. This work builds on a National Leadership Planning Grant from the IMLS completed in 2011. The six Heart of Brooklyn (HOB) cultural institutions will develop new methods of listening to, and learning about, the Brooklyn community, and will design and implement a process for conceiving and implementing collaborative programs that address community needs. While our project is focused on Brooklyn institutions and stakeholders, it is our intent that HOB’s efforts will ultimately transcend place and benefit the entire field. This project also engages satellite cities—Denver, Minneapolis-St. Paul, Columbus, Pittsburgh and Philadelphia—to serve as test beds for the project processes and deliverables. The project partners view this is an essential step toward building a national community of practice.

    For anyone who is planning to attend AASLH in Louisville in September, you might want to try to catch a session I'll be presenting in: New Partners and New Opportunities on Friday morning.  We'll be presenting a series of case studies (both successful and not) and let the audience weigh in on which partnerships seem right before we reveal what really happened in each case.  We do plan to come up with a document that, rather than a framework, is more a series of questions to ask.

    When discussing partnerships, I think the most important thing is to be open.  Yes, always keep in mind whether or not you'll see a return on your investment, both time and money.  But sometimes the partnerships that don't automatically make sense on paper turn out to be the most powerful.  And often, those that make perfect sense become the most problematic.  In other words, there is no simple rubric to help your organization say yes or no.
