  • 1.  Collections purchase and donation question

    Greetings!

    The Sage Collection at IU recently purchased a clothing object from a designer/artist to add to our collection. The designer generously sent a matching piece to the original purchased object for free. We didn't ask for the second piece, but it's just wonderful and makes a great set along with the first. Should I issue a deed for the second gifted object? Do I consider the two pieces as a single purchase? Any insight will help--we've never purchased an object since I've been here.

    Hi Kelly-- we've had the same situation here. I would document one as a purchase and one as a gift, so the purchase would have an invoice etc. for documentation, but if you have a gift agreement that donors usually sign to make the whole transaction legit, the designer should get one of those for the second piece.

    Dear Kelly - I would absolutely send acknowledgement and deed of gift documentation to the donor to complete.  I'm sure your bill of sale for the principal garment (purchase) does not include the additional piece.  Obviously, you can link the two parts through your CMS.  Vivian
