Congratulations on your new job. You are correct that gift planning work is hard to measure since gifts often take years, even decade, to "mature." (That means when your organization actually receives the funds.) I have found that boards of directors want to know the following annually.
Planned gifts received this year: number and $ amount
Expectancies added this year: number and estimated $ amount
Planned gifts added to operations budget
Value of the endowment beginning of the year
Planned gifts added to the endowment this year
Value of the endowment end of the year
Direct expenses of the planned giving program
Cost of planned giving program per dollar of endowment assets plus expectancies
The impact of the endowment distributions on your mission and constituents

My name is Kelley and I'm the Major & Planned Giving Officer at the Vero Beach Museum of Art. As of July 1st, this is a new position for our department. Although we've had a planned giving program for a number of years, without one staff person dedicated to it full time, we've had a very passive approach. We are working to develop a more active program and trying to determine the most appropriate measures of success. I am curious how other Museums evaluate the success of their Planned Giving program on an annual basis. How often to provide a planned giving report to the Board and what information do you report?
