  • 1.  e-mailing the Standard Facility Report

    Dear Colleagues,

    I was trained to not send the Standard Facility Report in electronic format (FAX or e-mail). The thinking is that it contains sensitive information on security and staffing details and should be sent by snail mail instead. Has the thinking changed over the years? I just received one from a major museum as an e-mail attachment. Thanks.

    Wow!  Great question! will be interested in the answers.  For the past two years for fall exhibitions, we sent out numerous FRs electronically to colleagues all over the east coast and into TX! Yikes!

    Hi David,

    Using an encrypted email service like WeTransfer or Proton Mail is a good way to send sensitive information. They are slightly different, so I'd check out both and see which you'd prefer.

    Great question! From a security standpoint you are correct regarding email. However, to my knowledge faxing is still a secure method of transmission if it is done in the traditional sense (phone line) - the problem that can arise is many organizations have switched to electronic fax services that will deliver the message via e-mail or another online method. As was pointed out by Michelle, using an email encryption service is a secure method of transmission.
